Case Study: Marketing & Operations Optimization
Client: American Marriage Ministries
American Marriage Ministries (AMM) is a Seattle-based nonprofit that ordains and trains wedding officiants nationwide. As the founder prepared to step back and a new executive director stepped in, the organization needed to reduce founder-dependence, clarify roles, and create durable systems for accountability, visibility, and growth.
The challenge:
AMM’s small but mighty team was working hard without clear performance metrics, consistent reporting, or a shared understanding of what success looked like. Marketing, content, and event efforts overlapped. Staff were stretched thin across fifteen channels. The board lacked visibility into what was working. With a leadership transition underway, the goal was to create clarity and rhythm, so the organization could run smoothly without daily oversight from its founder.
My approach:
Over a twelve-week engagement, I conducted a full marketing and operations audit, interviewing staff, mapping workflows, and identifying inefficiencies across fifteen content and event channels. From there, I clarified team roles, created new systems for accountability and reporting, and trained the Marketing & Events team to self-manage during a leadership transition.
deliverables included:
Comprehensive Marketing & Events Audit & Recommendations Report • Tiered channel strategy aligning effort with measurable KPIs • New job descriptions and success metrics for the Marketing & Events team • Staff Self-Management Guide: “Growing Into a Self-Managing Team” • Monthly Reporting Framework and template for staff • Reporting Playbook and Quarterly Board Summary system for leadership • Brand Voice & Editorial Style Guide harmonizing all marketing content • Facilitation of AMM’s several staff-led monthly reporting meetings • AI guardrails and workflow: Internal prompts and tools to accelerate ops (drafting agendas, synthesizing meeting notes, formatting reports, competitive scans) with a clear rule that public-facing copy remains human-written and editor-approved.
Client Feedback

Ariel came in at exactly the right moment for AMM. We were in a period of transition, and I knew I wouldn’t be as engaged with the day-to-day management as I used to be. She built a simple, sustainable rhythm (clear roles, organized reporting templates, and structured meetings) that works even when I’m in the background.
What’s most valuable is how useful it all is. People are actively using the templates and the cadence Ariel established. In just a couple of meetings, our content and marketing side feels more professional, and our team is syncing their work with real accountability.
The quarterly board summary is a big win, too; it makes the new Executive Director’s job easier. In short: mission accomplished. Ariel delivered systems that last beyond her engagement.
— Lewis King, Executive Director, American Marriage Ministries
The Impact:
- Reduced overlap and confusion: Clearer responsibilities for staff created immediate relief and accountability.
- Smarter workflows: A tiered channel strategy aligned effort with the KPIs that matter most: traffic, visibility, and brand differentiation.
- Consistent reporting: The new monthly and quarterly cadence gives leadership and the board a simple, reliable view of progress.
- Self-management culture: The Marketing & Events team can now operate independently, staying creative and aligned without daily supervision.
- Faster internal turnaround without compromising voice: AI used behind the scenes for synthesis and formatting, while respecting that the org’s values dictated that all external copy remained human-authored and on-brand
AMM’s leadership transition became an opportunity to build something stronger: a system that supports autonomy, transparency, and long-term stability.
